Terms of Use for Rental Conference Rooms
- These terms and conditions govern the use of the facilities (hereinafter referred to as "the Facilities") managed and operated by Shin-Umeda Training Center (hereinafter referred to as "our company").
When using this service, we ask that you fully understand and comply with the contents of these terms and conditions.
1. Handling of personal information
- Our facility will not use your personal information (such as name, gender, telephone number, email address, place of employment, etc.) for any purposes other than those listed below.
(1) To fulfill contracts with customers regarding services and products.
(2) To manage ongoing transactions of services and products, and to send and contact you regarding such transactions.
(3) Accidents, etc.,To contact you in case of an emergency.
(4) For post-termination of various transactions.Anything other than the above will be handled in accordance with our personal information protection policy.
2. Confidentiality
- Any information acquired by either the management or the customer in connection with the customer's use of this facility must not be leaked or made public to a third party without prior written consent.However, this does not include auditing firms or legal advisors who need to view the documents for business purposes.
3. Business hours
- The facility is available from 9:00am to 9:00pm.Please contact us if you would like to use the service outside these hours.Inquiries are accepted from 9:00 to 23:00.
4. How to use
- (1) Meeting room prices are exclusive of tax.
(2) The fees for one podium, one whiteboard, and waiting room distribution equipment are included in the room fee.Utility fees (10% of the room rate) will be charged separately from the meeting room rate.
(3) Installment payments for Type A will be 30% more than the Type A rate.
(4) In the case of theater-style events or major changes to the setup, a reservation for the setup fee plus the full-day section is required.

(5) Please eat and drink only inside the venue for which you have made a reservation.
(6) Unfortunately, our staff cannot help you with changing the layout on the day.We are unable to remove any unnecessary chairs or desks, so please contact us at least three weekdays in advance if you wish to make any changes.If you anticipate needing to add additional desks and chairs, please contact us and we will prepare extra chairs and desks in advance.
(7) If you plan to use the facility every day, you will need to reserve it from the morning.
(8) Bringing in microphones/speakers or other audio equipment is strictly prohibited.
(9) You may be charged an additional fee for bringing in any of the above equipment.
(10) In principle, we will not accept requests to extend the usage time on the day. However, if there are no other plans for later use and our staff is available, an extension may be possible.Please contact us at least one hour before your departure time.
(11) In principle, luggage sent in advance will be accepted the day before your stay.Please contact us for details.
(12) If necessary, we may request applicants to submit supporting documents.Even if a reservation is made, we may not be able to lend the item to you depending on the subsequent screening process.In this case, cancellation fees will not apply.
(13) In preparation for unforeseen disasters, please be sure to check in advance emergency exits, evacuation procedures, fire extinguishing equipment, etc.
(14) As a general rule, reservations can be made up to one and a half years prior to the date of use.
(15) A reservation will be officially made when you submit to us the application form specified by us.
(16) Posting notices is prohibited within the facility.Please reserve whiteboards, signboards, partitions, etc. for posting.
(17) Changes to equipment and food and drink (other than boxed lunches) may be made up to three days in advance on weekdays, and small changes to the quantity of boxed lunches may be made up to 10:00 a.m. the day before.
(18) Cancellations of equipment, food, and drink on the day are not permitted.
(19) Bringing food or drinks from outside is prohibited.Please make a reservation in advance.
(20) The return of the key each day will be considered the end of the session, so please return the key after each session.
(21) Please note that if you exceed 20 minutes beyond the end of your reservation time, you will be subject to an extension fee.
(22) Cancellations due to natural disasters such as typhoons, heavy rain, and snowfall
Cancellation fees will also be charged if you cancel due to natural disasters such as typhoons, heavy rain, or snowfall.Any cancellations or suspensions must be decided as soon as possible by the organizers.Please understand.
However, if a warning is issued in the morning of the day, there will be no cancellation fee.If the new date has been confirmed by the day of the event, please contact us.
(23) Room number disclosure
・Room numbers will not be disclosed in advance as we will have a guide sign at the main entrance on the first floor on the day.
・If you would like to receive advance notice, etc., please apply through the inquiry/reservation form, acknowledging that cancellation will not be possible in the future.We will disclose the room number on the day of use.
5. Restrictions and Prohibitions on Use
- If any of the following apply to you, we will ask you to cancel your application or suspend or exit the service.Any damages incurred in such cases will be borne by the user and we will not be held responsible in any way.We will not refund any usage fees that we have received even after payment has been made.Please also understand that in this case, we may decline your application for future use at our discretion.
(1) When parties related to the applicant or parties in conflict with them are planning or may be planning to hold a collective demonstration in the vicinity of the conference room or venue. (Including when advance notice has been given)
(2) When the venue operators determine that the number of security personnel at the venue should be increased beyond normal levels.
(3) If the meeting involves pyramid schemes, multilevel marketing transactions, or other activities that we deem inappropriate.
(4) When there is a risk of violating or being violated the provisions of law, public order, or good morals.
(5) When there is a risk of causing inconvenience to other customers or third parties.
(6) If the information provided in the application form or other application documents is false or the purpose of use is inappropriately changed.
(7) When use is deemed inappropriate by administrative or other authorities.
(8) When the right to use the facility is transferred to a third party or subleased to a third party.
(9) Speaking, playing music, or using audio equipment in a manner that exceeds the soundproofing level of the Facility.
(10) If admission exceeds the capacity of the venue.
(11) Any other reason that the operator deems undesirable.
(12) The following groups and individuals will be denied use of the facility:Furthermore, if this fact becomes known after a reservation has been made at our facility, or even if you are currently using the facility, we will refuse you any further use.
An organized crime group as defined in Article 2, Paragraph 2 of the Law on Prevention of Unjust Activities by Organized Crime Group Members (Law No. 77 of 1991) (hereinafter referred to as an "organized crime group").), members of organized crime groups as defined in Article 2, Paragraph 6 of the same Act (hereinafter referred to as "members of organized crime groups").),Associate members of organized crime groups or people related to organized crime groups or other anti-social forces.When the business activities of a corporation or other organization are controlled by an organized crime group or a member of an organized crime group.

(13) Please do not bring in flammable or other dangerous items, or items that may cause inconvenience to other guests or third parties.
(14) Smoking is only allowed in designated smoking areas.
(15) Please be sure to take home any training equipment or other items brought to the training.
(16) Do not bring in pets, animals, or plants without permission.
(17) Please refrain from chatting or rough behavior in shared spaces such as hallways and restrooms as this will cause inconvenience to other users.
(18) Please properly organize and guide visitors to avoid congestion within the facility (lobbies, rooms, elevator halls).
(19) Please dispose of garbage in accordance with the regulations of each facility.
(20) If there is any garbage that does not fit into the trash cans in the conference room, there will be a fee for collection.
(21) The conference room may be used for meetings, training sessions, seminars, etc.It cannot be used by an unspecified number of people for the sale of products, etc.
(22) It is necessary for users to know the names, etc. of participants.
6. Division of Responsibility
- (1) We shall not be liable for any theft or loss of any items owned or brought by the customer.
(2) We are not responsible for any damages caused by computer viruses or other problems arising from the use of our facility's Internet line.
(3) If you damage, deface, or lose the facility or equipment of the facility, you will be charged the actual cost.
(4) If any damage is caused to an employee of the facility or a third party other than a guest, you will be required to compensate for such damage.
(5) If the facility becomes unavailable due to reasons beyond the user's control, such as a natural disaster, unforeseen accident, disaster prevention drills, or inspection of disaster prevention equipment including broadcast testing, we will provide a full refund of the usage fee you have paid.In this case, we will not compensate for any damages incurred by the user.
(6) We can accept advance or temporary storage of luggage, etc., so please contact us in advance (excluding some facilities).Please contact us for more details).We will not be held responsible for any theft, loss, damage, or soiling of your luggage unless such damage is attributable to our company.
(7) The user acknowledges in advance that compensation for damages caused by our negligence will be limited to the service fees paid by the user, and that we are not liable for lost profits, such as opportunity loss.
(8) The names of our facilities or conference rooms may change without notice.We shall not be liable for any damages incurred by customers or third parties as a result of this.
(9) The user shall be held responsible for any accidents that occur during the use of the conference room, even if such accidents are the work of a person related to the user or a visitor.
(10) Even if the use of the service is suspended due to force majeure such as earthquakes or other disasters, bad weather, traffic conditions, or other reasons beyond our control, or instructions from government agencies, or other reasons beyond our control, we shall not be liable for any damages.
(11) If a user violates the terms of use and causes damage to our company, you will be required to compensate us for such damage.
(12) The terms of use and the use of our conference rooms shall be governed by the laws and regulations in force in Japan, and the Osaka District Court shall be the exclusive court of first instance for any lawsuits relating to the use of our conference rooms.
7. Cancellation policy and changes
- (1) Regarding contract cancellation by the customer
If you wish to cancel all or part of your contract for a conference room, etc., for your own reasons,
The following cancellation fees will be charged.
- *Cancellation of outsourced supplies and lunches will be subject to the regulations of the outsourcing company.
*Cancellations can only be made by phone during business hours.(We do not accept requests by fax or e-mail outside of business hours.)
Please note that in cases where the Facility deems it necessary, such as for early reservations or reservations spanning multiple dates, different cancellation policies and payment of the application fee may be required as a condition of acceptance.In that case, we will provide you with the cancellation policy and the amount of the application fee when we quote the reservation.
(2) Cancellation fees for large reservations: Reservations of 3 rooms or more per day or reservations for 3 days or more
・If you cancel after the confirmation has been signed, a cancellation fee of 100% of the venue room rate will be applied, starting from the first room.・Because this is a large reservation of 3 rooms or more per day and 3 days or more, rather than the standard cancellation fee, a 100% cancellation fee will be applied regardless of the date in order to decline all future inquiries from customers.
(3) Changing your reservation
・Date changes must be made within one year of the scheduled date of use.
・Date changes are possible up to one month prior to the tour, subject to the same conditions.(However, any changes to reservations will require you to agree to 100% cancellation fees going forward.) - Any changes to dates within one month will be treated as cancellations.・Date changes up to one month in advance are limited to rooms of the same type or larger (large to small is not possible) If you change your dates up to one month in advance and change from a Saturday, Sunday or public holiday to a weekday, the rate will remain the same for Saturday, Sunday or public holiday.If the trip changes from a weekday to a Saturday, Sunday or public holiday, the rate will be the Saturday, Sunday or public holiday rate.・Changes to facilities are possible up to three months in advance, but only if the change is to a venue of equal or greater quality.(However, any changes to reservations will require 100% cancellation fee to be accepted.) - Venue changes (small to large) are possible regardless of date as long as there is availability.・For venue changes (large → small), a standard cancellation fee for the difference between the large and small amount will be charged in addition to the small venue fee (the same applies for split reservations → no split reservations) (excluding large reservations) - Time changes (shorter → longer) are possible regardless of the date as long as there is availability.・Any changes in time (long to short) or category (long to short, such as all day to morning) will be subject to a cancellation fee difference. Cancellations for equipment must be made up to 3 weekdays in advance.(Additions can be made later.) (However, this does not include externally ordered supplies) - Final changes to the quantity of lunch boxes can be made by 10:00 a.m. the day before. (No changes allowed after 10am)・Please make any changes to your drink quantity at least 3 days in advance on weekdays.Additions are possible on the day as long as they can be accommodated.(However, this does not include items ordered from outside) - Changes to the menu for the social gathering must be made at least three weekdays in advance.・Once the room has been confirmed, the date cannot be changed.
(4) Cancellation of contract by the facility
In the following cases, we may decline your application for use or cancel an existing contract for the conference rooms, etc.Please understand that in this case, we will not be able to pay any compensation or other monetary damages associated with the cancellation.
・When the terms and conditions of use for the conference room are violated.
・When the facility cannot be used due to a natural disaster or other unavoidable circumstances.
8. Precautions when using the site for various types of filming (including videography, photography, and in-house use)
- (1) In principle, you may use the conference room for photography. However, please contact us in advance as there may be cases where photography is not possible depending on the content and scale of the photography.
(2) It is prohibited to film any content that violates public order and morals or that is problematic from a social perspective.The same applies if we determine that noise or other issues may cause inconvenience to other customers or building users.
(3) Photography and the installation of photography equipment outside the conference rooms (including the entrance and common areas) are prohibited.Additionally, as a general rule, please refrain from taking photographs of the exterior of the building.If you would like this, please contact us in advance.
(4) When taking photographs, please be careful not to disturb other visitors and not to damage or lose any items on the walls or in any other way.If any damage or loss occurs, you may be required to pay compensation for the damage.
(5) The facility assumes no responsibility whatsoever for any problems that arise during reporting, filming, broadcasting, or publication.
