Cancellation Policy

Cancellation policy and changes

  • (1) Regarding contract cancellation by the customer
    If you wish to cancel all or part of your contract for a conference room, etc., for your own reasons,
    The following cancellation fees will be charged.
  • *Cancellation of outsourced supplies and lunch boxes is subject to the regulations of the outsourcing company.
    *Cancellation requests are accepted only by phone during business hours.(We do not accept requests by fax or e-mail outside of business hours.)
    Please note that for early bookings or bookings spanning multiple dates, or in any other case deemed necessary by the facility, different cancellation policies and payment of a deposit may apply.The cancellation policy and the amount of the application fee will be provided by our company at the time of the estimate.
    (2) Cancellation fees for large bookings: Bookings of 3 rooms or more per day or 3 days or more.
    ・After the confirmation document has been signed, any cancellation will incur a cancellation fee of 100% of the venue rental fee, starting from one room.
    ・Due to this being a large booking of 3 or more rooms per day for 3 days or more, instead of the standard cancellation fee, a 100% cancellation fee will be charged regardless of the date, as we will be declining all future inquiries from other customers.
    (3) Changing your reservation
    ・Date changes must be made within one year of the scheduled date of use.
    ・Date changes are possible up to one month prior to the tour, subject to the same conditions.(However, further changes or cancellations after the initial change are not permitted (a 100% cancellation fee will apply).)
    ・Any schedule changes made within one month will be treated as cancellation.
    ・Date changes up to one month prior are limited to rooms of the same type or above.(Large to small is not possible.)
    ・If you change your dates up to one month in advance and change from a Saturday, Sunday or public holiday to a weekday, the rates will remain the same for Saturday, Sunday or public holiday.If the trip changes from a weekday to a Saturday, Sunday or public holiday, the rate will be the Saturday, Sunday or public holiday rate.
    ・Changes to facilities are possible up to three months in advance, but only if the change is to a venue of equal or greater quality.(However, any changes to the reservation must be agreed to incur a 100% cancellation fee.)
    ・Changing the venue (from small to large) is possible regardless of the date, as long as there is availability.
    ・A change of venue (large to small) will incur a standard cancellation fee equal to the difference between the large and small venue fees, in addition to the small venue fee.(The same applies to split → no split)(Large reservations excluded)
    ・Time changes (shorter to longer) are possible regardless of the date, as long as there is availability.
    ・Changes to the time (long to short) and changes to the time slot (full day to morning, etc., long to short) will all incur a cancellation fee equal to the difference in price. Cancellation of equipment must be made at least 3 days in advance.(Additions can be made later.) (However, this does not include externally ordered supplies.)
    ・Final changes to lunch box quantities can be made by 10am the day before. (No changes allowed after 10am)
    ・Please make any changes to your drink quantity at least 3 days in advance.Additions are possible on the day as long as they can be accommodated.(However, this does not include products ordered from outside.)
    ・Please make any changes to the menu for the social gathering at least 3 days in advance.
    ・Once the room has been confirmed, the date cannot be changed.
    (4) Cancellation of contract by the facility
    In the following cases, we may decline your application for use or cancel an existing contract for the conference rooms, etc.Please understand that in this case, we will not be able to pay any compensation or other monetary damages associated with the cancellation.
    ・When the terms and conditions of use for the conference room are violated.
    ・When the facility cannot be used due to a natural disaster or other unavoidable circumstances.
